Privacy Policy

This is a combined privacy policy and information document in accordance with the Finnish Data Protection Act and the EU General Data Protection Regulation (2016/679/EU).

Legal basis for processing personal data

General information on the processing of personal data

To the extent that the Customer Register contains personal data, the processing of such data is in compliance with the Finnish Data Protection Act and other applicable acts, regulations, orders and instructions issued by the authorities, concerning the processing of personal data. Personal data is information that can be linked to a specific person. This privacy policy describes in more detail the procedures for the collection, processing and disclosure of personal data, as well as the rights of the customer, i.e. the data subject.

The purpose of use of the Customer Register is to facilitate contact for customer service purposes and to maintain the customer relationship.

Purpose of use of the data

The information contained in the Customer Register may be used for the following main purposes:

  • customer relationship management and development
  • producing, providing, developing, improving and protecting services
  • invoicing, collection and verification of customer transactions, targeting of advertising
  • compilation of statistics regarding and analysis of services
  • customer communications
  • fulfilment of the controller’s legal obligations, and other similar purposes.

Data content of the Customer Register / what information do we collect?

The following categories of data are, or may be, processed in the order diary and its annexes:

  • basic customer information such as name/company, address, email address, phone number
  • information related to invoicing and collection of payment.

Data retention period

As a general rule, personal data will be processed for as long as the customer contract for which we need the data is in force. We record the information in the Register as we receive it from the data subject and update it as and when the data subject notifies the controller.

Other personal data will be deleted when there is no longer a need to retain it. If the collection and storage of personal data is based solely on the Customer’s consent, the personal data will be deleted at the Customer’s request.

Disclosure of data / to what parties may data be disclosed?

Information will not be disclosed for marketing purposes.

Data is not regularly transferred outside the European Union or the European Economic Area. However, data may be transferred or disclosed outside the EU or the EEA as permitted by law, provided that the data is transferred to a country where the European Commission has determined that an adequate level of data protection exists or where contractual arrangements can guarantee an adequate level of data protection. Transfer outside the EU may also temporarily take place when using cloud services such as OneDrive, Google Analytics, iCloud or Dropbox.

Information is disclosed to public authorities as required by law.

Principles of register protection / how do we protect your personal data?

Access to the Register requires a user ID issued by the administrator of the Customer Register. The administrator also determines the level of access granted to other users. Only the employees of the controller and employees of subcontractors who need access to the data in order to carry out their work-related tasks are able to access it.

Customer rights / what can I do to ensure the lawfulness of the processing?

Inspection of, access to and transfer of data

The Customer has the right to check what information about them is stored in the Customer Register. The Customer must submit any request for inspection to the controller in writing, in hand-signed form or in a document authenticated in an equivalent manner, or by email.

The controller will provide the above information to the Customer within 30 days of the request for inspection being presented.

The Customer has the right to have any customer data that concerns them transferred to a third party in a structured and commonly used machine-readable format. However, the controller will retain the data transferred in accordance with this privacy policy.

Rectification of incorrect information

The Customer has the right to have any personal data stored in the Personal Data Register about them rectified, to the extent that it is incorrect.

Objection to or restriction of processing and erasure of data

The Customer has the right to object to the processing of personal data concerning them for the purposes of direct marketing, distance and other direct selling, market research, opinion polling and the development of the controller’s business operations, and to restrict the processing of personal data concerning them. They shall also have the right to have any personal data already recorded about them for the aforementioned purposes erased, even if the processing is otherwise justified.

Withdrawal of consent

If the information in the Register is based on the consent given by the Customer, the consent may be withdrawn at any time by notifying the representative of the controller as specified in this policy. Upon request, all data that should not or cannot be retained by law or on any other grounds specified in this privacy policy will be erased.

Procedure for exercising rights

Requests for inspection or rectification or other requests may be made by contacting the controller’s customer service department using the contact details provided in this policy.

Disputes

The Customer has the right to refer the matter to the Finnish Data Protection Ombudsman if the controller does not comply with the Customer’s request for rectification or other request.

Use of Cookies on the Website

Our website uses cookies. We use cookies to collect visitor statistics and analyse data. Our objective is to develop the quality and content of our website in a user-centred way. We do not send visitor data to third parties. You can also choose to refuse the use of cookies.

A cookie is a small text file that is sent to and stored on a user’s computer. Cookies do not harm users’ computers or files. Please note that cookies may be necessary for the proper functioning of some services.

This website uses both session and tracking cookies. The session cookies collected on our website are stored in the device’s memory for as long as the browser is open, but are destroyed when the browser is closed. Only the tracking cookies used to identify whether a visitor is a new visitor or returning visitor remain after the browser is closed.

On our website, we use analytics software (Google Analytics) provided by a third party, which places a tracking cookie on the user’s computer. The cookie can be used to track whether a user is returning to the site or is visiting for the first time.

The user’s browser will determine if a tracking cookie is already present. If one is not found, a new cookie is placed in the browser. We will never pass on user information obtained from tracking cookies to any third party.

  • time and date
  • pages visited
  • browser type
  • the web address the user came to the website from
  • the server the user came to the website from
  • the domain the user came to the website from.

Most browsers allow you to disable cookies. For example, you can do this in the browser Edge by clicking on ‘Settings and more’ (three horizontal dots), then ‘Settings’, ‘Cookies and site permissions’, ‘Manage and delete cookies and site data’ and then toggle ‘Allow sites to save and read cookie data’ to the off position.

Social extensions

Our website may use so-called social extensions for social plugins offered by third parties such as Facebook, Instagram, X and YouTube. Third party applications are subject to the third party’s terms of use and other terms and conditions.

Our website uses cookies to ensure that the service is secure, efficient and user friendly.

We use technology from foreign service providers on our website and the information collected by their cookies, if any, is transferred to and stored on their servers, some of which may be located outside the EU. These include: Google Analytics, Google Tag Manager and Facebook’s conversion pixel.
